CONTRACTS/SALES ADMINISTRATOR

We are seeking an experienced Contracts individual who will be responsible for all assigned programs and product offerings with a focus on developing and maintaining strong relationships with customer contacts. Other primary duties include developing internal relationships to successfully support customer programs and monitor day-to-day activities related to customer quotes, orders and shipments to support the Sales team’s efforts to meet and exceed revenue goals.

Responsibilities

  • Primary customer service contact for clients – communicates order discrepancies with vendors, clients and accounting department and ensures appropriate action is taken to resolve discrepancies.
  • Develop and maintain good working relationships with client contacts. Understand customer programs and applications and look for opportunities to encourage additional sales.
  • Monitor contracts, agreements, and purchase orders to ensure full compliance with given terms and conditions.
  • Develop, maintain, and administer appropriate pricing on quotations in conjunction with management review and approval.
  • Coordinate quotations and order submissions with client contracts and take appropriate action to discuss with client any discrepancies.
  • Responsible for the entry and release of Sales orders into ERP system and informing clients of the preliminary delivery dates for order(s). Follows-up on all ERP system generated leads.
  • Track customer orders from inception through the production phase to ensure any delays or design issues that impact quality or delivery are conveyed appropriately and expeditiously to client. Work with internal personnel to determine resource allocation to meet shipping deadlines.
  • Compile, analyze, and evaluate data related to customer orders to create custom reports, monitor account status and facilitate shipments.
  • Updates sales system if shipping/delivery dates change.
  • Issue pricing adjustments on clients’ accounts – credits and re-bills for pricing errors on invoices.
  • Handles the RMA’s process utilizing system and oversee processing through the system.
  • Maintain complete and accurate files to facilitate internal administration and audits by outside entities.
  • Track weekly, monthly, and quarterly performance and sales metrics.
  • Assist with marketing campaigns.
  • Work with Sales team to ensure the client requirements and company’s sales revenue goals are met.
  • Evaluate position responsibilities, processes, and tasks for improvements toward a leaner, more efficient workflow.

Job Qualifications

  • Bachelor’s degree with major in Business Administration, Accounting, Communications, Supply Chain, Marketing, or other quantitative field of study
  • Minimum 2 years experience in Contract Administration is required
  • Demonstrated experience directly associated with government contracting may be substituted for up to 2 years of education requirement
  • Military (USG) experience highly desired and may also substitute for industry specific experience
  • Knowledge of EPICOR ERP system is a definite plus
  • Previous experience working with an ERP/MRP system
  • Proficient in Microsoft Office software programs (with advanced Excel skills)
  • Highly organized, self-motivated and thoroughly attentive to detail in al actions. Must be comfortable with contracts, legal terminology, negotiation and dealing with numbers
  • Proactive, positive and customer focused attitude
  • Ability to communicate difficult issues to clients while maintaining a positive attitude
  • Must be able to work in a demanding, fast-paced environment and have a strong affinity and understanding of the issues our clients identify. Must be able to function effectively and independently, meeting deadlines with minimal supervision
  • Apply critical thinking principles and remain flexible when having to shift direction
  • Must possess excellent verbal, written, and interpersonal skills with the ability to communicate across all levels and functions of the organization
  • Previous experience working with military and aerospace is desirable
  • Previous experience working with US Government contract administration including FAR and DFAR regulations is highly desirable
  • Must be a US Citizen or Permanent Resident per ITAR regulations
